Reusable work
Build reusable calculator sets for client quotes and recurring estimates
A repeatable quote needs more than the final number. Retain the inputs, units, assumptions, date, and formula version so you can explain the answer when a customer or colleague returns to it.
Separate a working canvas from a saved snapshot
The canvas is your live working area: arrange tools, change inputs, and inspect alternative scenarios. A saved snapshot is a record of a particular calculation. Naming it “Website estimate — base scope” is more useful than saving another unnamed total.
Calculator sets collect related catalog and reviewed custom calculations. Export the set as JSON to retain the structured inputs and results. A CSV is useful for reading in a table, but it does not carry the full custom-calculator definition or the same versioned structure.
Check what changes when assumptions change
Keep base, conservative, and expanded-scope scenarios distinct. Compare scenarios from the same tool using the same units and period. A different hourly rate is easy to explain; a hidden change in the definition of billable hours is harder to detect.
Refresh a set’s results when you deliberately want to recalculate its inputs. Preserve an exported version if the previous result matters. Editing a definition should trigger a fresh check of its meaning, units, boundaries, and known-answer fixtures.
Plan sharing around the information being disclosed
A calculation link can contain the inputs in its URL. Anyone who receives it can read those inputs, so do not use it for private client information. A downloaded canvas or set also contains the inputs it exports; store and transfer it accordingly.
Local history and exports work without an account. Private cloud retention, revocable hosted snapshots, and paid memberships depend on an activated account and billing service. Until those services are enabled, use the local workflow and portable exports. Do not promise a client a cloud link that has not been created and tested.
